Green Wood Pictures commissioned services privacy Policy.

This document sets out the Data Protection and Privacy Policy for information gathered and held by Green Wood Pictures when services are commissioned.

You will always have the option of withdrawing any consent given or requesting on this form or requesting erasure of information held at any time without being penalised. Please see section 5 for details on this. 

The gathering and processing of any personal data by Green Wood Pictures will always be in line with the General Data Protection Regulation (GDPR) 2018 and the Data Protection act 1998. 

1. Information collected & how it is stored.

The following information will be collected in order to contact you and arrange details for the service of wedding photography coverage and subsequent delivery of products. The information is collected for the Bride, Groom and any third party representing or managing the booking. 

  • Full name
  • Contact information including Phone number and email address
  • A postal address
  • Information relating to the wedding including but not limited to locations and times.
  • Details of any goods ordered. 

This information will be stored by Green Wood Pictures on paper and digital copies.
Green Wood Pictures will not pass this data on to any third party unless required by a court of law.
Green Wood Pictures will take measures to ensure the security of this data and that it is not made available or accessible to any third party.

This data will be kept indefinitely, unless you ask for it to be removed.

If a second photographer is hired through Green Wood Pictures,
some of the above information collected may be shared with them. 

Following your wedding, Green Wood Pictures would also like to contact you for Anniversary, Christmas and other special occasion messages. This will not include marketing. 

2. Collection & storage of photographs. 

Naturally, the service of wedding photography requires Green Wood Pictures to take, store and process personal photographs from the event.
These images will be stored and processed following the event.
Green Wood Pictures will ensure no third party has access to the images taken unless prior, separate consent is given. 

Standardly, Green Wood Pictures keeps the images for one year after the date of delivery.
This is for back up purposes only.
After this time has elapsed, all images will be permanently removed from all electronic storage held by Green Wood Pictures unless consent is given for Green Wood Pictures to keep and use the images. 

If a second photographer is required, they are also required to take, store and process personal photographs from the event. These images will be stored and processed by the second photographer and Green Wood Pictures following the event.
The second photographer will also keep the images for one year after the date of delivery for back up purposes only. After this time has elapsed, the second photographer will remove the images permanently from all electronic storage held by them unless consent is given for the third party to keep and use the images.

3. In the event of a data breach.

Green Wood Pictures will take all appropriate measures to ensure that any data collected is held securely. However, it is possible in some extreme circumstances that there may be a data breach by intruders electronically or physically.
In the event of a data breach, as soon as Green Wood Pictures is aware of the situation, those affected will be contacted immediately and informed of the details of the breach (where known) and the information that may have been included in the breach. 

4. Permitting Green Wood Pictures to use images in marketing and portfolio. 

As a small business, use of images from past events is incredibly useful to Green Wood Pictures.
If you give consent, Green Wood Pictures would like to use your images in some or all of the following ways: 

  • Use in public portfolios, both electronic and printed.
  • Use in marketing and promotional material
  • Use on Social mediaYou are under no obligation or pressure to grant permission for Green Wood Pictures to use your images in any form.
    You may choose to give consent for some of the methods of use and deny others.
    You may wish to view your images before deciding whether to give or deny consent. 

Consent can be withdrawn at any stage. Please see section 5 for details. 

If a second photographer is used, it is also very helpful for them to be allowed the same usage permissions, where applicable. 

If you give Green Wood Pictures and/or a Second Photographer consent to use the images in any of the above ways, the images will be kept by Green Wood Pictures and/or a Second Photographer indefinitely, until consent is withdrawn. 

5. Withdrawal of consent & Requesting a copy of information held

If you wish to withdraw any of the consent given here or request a copy of any information held you may do so at any time without being penalised. 

To withdraw consent, please get in touch via one of the methods below and state whether you wish to withdraw some or all consent. If you wish to withdraw partial consent, a new privacy policy will need to be completed.
All information relevant to the withdrawal of consent will be removed from electronic and paper storage as soon as notice of withdrawal is received. 

Every 5 years from the date of this consent, Green Wood Pictures will contact you to confirm whether you are still happy with the terms of this data policy.
Green Wood Pictures may contact you if there are any changes to the law that may affect this policy. 

If you wish to request a copy of information held, this must be done in writing. Please send a signed letter to the postal address below.
